TheNote Privacy Policy
Effective date: 17 October 2026
This Privacy Policy explains how the TheNote app for Android (package name com.alexlim.thenote) and for Windows ("TheNote", "the app") handles your information. TheNote is developed by ADDexia (Singapore) ("we", "us").
1. Summary
- Your notes, recordings and pictures are stored on your own devices.
- If you turn on Google Drive sync, they are also stored in a hidden TheNote folder in your own Google Drive, so your other devices can get them. TheNote can see only that folder, not your other Drive files.
- We run no servers for TheNote. We never receive your notes, and we do not sell your data, use it for advertising, or share it with unrelated third parties.
2. Information the app handles
- Your notes: the text you write or dictate, to-dos, pictures you add, and every earlier version of each note (kept so edits from two devices can be merged and nothing is lost).
- Voice recordings: audio recorded with your device's microphone when you press Record, or audio files you choose to bring in. The microphone is used only while you are recording.
- Device details: a random identifier for each of your devices, its name, platform and app version, so your devices can tell their edits apart. These stay among your own devices and your own Google Drive.
- Keys you enter: API keys for AI or speech services you choose to use (see section 5). On Android they are encrypted with a key that never leaves your phone, and they are never synced.
3. Google Drive sync and Google user data
Sync is optional and off until you connect a Google Account in the app's Settings. When you connect, TheNote asks through Google's standard authorization screen for one permission:
- Google Drive application data folder (Google Drive API, scope
https://www.googleapis.com/auth/drive.appdata): a hidden folder in your Google Drive that only TheNote can read and write. TheNote cannot see, open or change any of your other Google Drive files.
TheNote uses this folder only to keep your notes the same on your devices: it stores copies of your note versions, pictures, word timings for recordings and each device's details there, and your recordings too if you turn on "Sync recordings". It also reads your Google Account's identifier, e-mail address and Drive storage space, to show which account is connected and whether Drive is full. Data travels directly between your device and Google's servers over encrypted (HTTPS/TLS) connections.
TheNote's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. In particular:
- Google user data is used only to provide the sync feature you see in the app.
- We do not sell it, use it for advertising, or transfer it to anyone else, except as needed to provide sync, to comply with applicable law, or as part of a merger or acquisition with your notice.
- We do not use it to develop, improve or train generalised artificial intelligence or machine learning models.
- No human at ADDexia reads it, unless you ask us to for a support request and give your permission, or unless required by applicable law.
4. Where your data is stored
- On your devices: in the notes folder (on Android, a TheNote folder in your phone's storage or the app's own private storage; on Windows, the folder you choose). On Android the app also keeps its backups on the phone, beside your notes.
- In your Google Drive, if you turn on sync (section 3).
- On Windows, the sign-in that lets TheNote reach your Drive is kept on your computer, encrypted by Windows for your user account.
5. Services you choose
Some features use outside services only if you choose them and enter your own key for them. Your content then goes from your device directly to that service, under your own account and that service's privacy policy; ADDexia does not receive it:
- Speech to text: by default it runs on your device. If you choose OpenAI instead, your recordings are sent to OpenAI to be transcribed.
- AI features (tidying a transcript, summaries, and asking questions about your notes): they can run on your device, or with a service you set up, such as OpenAI, Anthropic, Google Gemini, OpenRouter, Groq or a server on your own computer. The text needed for the request is sent to that service.
- Model downloads: the speech and AI models that run on your device are downloaded from their publishers' sites (such as Hugging Face and GitHub), which see your device's network address, as any website does.
The app contains no advertising, no third-party analytics and no crash reporting.
6. Retention, deletion and control
- Notes on your device stay until you delete them (notes in the Trash can be emptied automatically after 30 days), clear the app's data, or uninstall the app.
- In the app's Settings you can disconnect Google Drive at any time, and you can remove all of TheNote's data from your Google Drive with "Remove TheNote's data from Google Drive". You can also delete it in Google Drive's settings under Manage apps.
- You can remove TheNote's access to your Google Account at any time at myaccount.google.com/permissions.
Because we hold none of your data on our own servers, we have no copy of it to delete. If you have questions about deletion, contact us (see section 10).
7. Security
The app talks to Google and to the services you choose over encrypted HTTPS connections, uses Google's standard authorization, and keeps keys and sign-ins encrypted on your device. No method of storage or transmission is completely secure, but we take reasonable steps to protect your information.
8. Children
TheNote is not directed at children under 13, and we do not knowingly collect personal information from children.
9. Changes to this policy
We may update this Privacy Policy from time to time. We will post the updated version on this page and change the effective date above. If a change significantly affects how Google user data is used, we will update this page before the change takes effect and, where required, ask for your consent again.
10. Contact
